If you want to stand apart from other trainers, one way is to send professional looking follow up reports to your clients after each session. These reports keep you organized and the client on track. This will set you apart from a lot of other trainers.
We all know we should do it but it’s not easy to follow through with this important documentation. DogBiz Manager can help. With each client record you can write, save and send any number of session follow up reports.
- Go to the client’s record.
- Click on the big blue button on the right side of the screen that says Case MGR
- Click on the tab on the left that says Follow Up.
- Click on the button that says Folllow Up All – Owner
- Make sure the correct client’s pet is selected at the top left (if they have more than one pet)
- Find the dropdown that is labeled Consultant and select yourself
- Enter the session number in the Session # box.
- Make sure the Review tab is selected. Then in the text box type a quick review of what you did this session. No need to write a book. Most of the time one or two sentences works fine.
- Select the Overview tab and type a quick overview of what the client should be doing now. Again just a quick overview.
- Select the Training tab and type some brief training steps for the client to follow. This would be the steps you worked on in the session.
- Select the Look For tab and type a quick note on what behaviors the client should look for.
- Click the Save New button
- Click the Print button
- A professional looking PDF report will be generated. Save the report on your computer where you can find it. You may what to have one folder to store all of your reports in.
- Email you client right away telling them how nice it was to work with them and attach the PDF report you just made.
You are now in the top 5% of pet dog trainers and more likely to get a referral from your clients. Most of the time you can do all of these steps in under 5 minutes. You now have a record of what you did with this client on this date and what you asked them to do and so does your client. If you do not see this client for 3 weeks or 3 months, you can always go back and see what you were working on and what they were told. If you work with other trainers one day, they may have to see this client so this would be an easy way for them to get up to speed.
All the business coaches say client follow up is one of the biggest keys to a successful business! |
